Draft Google review replies for a bookkeeping firm: positive, neutral, negative and star-only
Short answer
Use this to build a reply set the firm can adapt, or when a new review comes in and you need a draft fast. It covers glowing reviews, mixed ones, complaints and ratings with no text, and keeps client details out of public replies.
These prompts help with marketing copy and Google Business Profile upkeep. They are not legal, tax or professional advice. Check Google's current guidelines, and your professional body's advertising rules if you hold a license, before you publish. Confidentiality rules for your firm or license may limit what you can say in public replies.
What the source describes
These review reply templates follow Google's Business Profile Help: a verified business can reply to reviews from its profile. Google checks each reply against its content policies before posting, which usually takes up to 10 minutes but can take up to 30 days. An approved reply is public, shows as the business rather than a personal name, and the reviewer is notified and can still change the review.

- When a review comes in, start from the matching template and change at least one sentence so it fits that review.
- Remove anything that could confirm a client relationship or describe their books.
- Post the reply from the Business Profile under Read reviews.
- Check back later to see that Google approved the reply; edit it if Google asks.

Copyable prompt
Act as the client relations lead for [firm name], a bookkeeping firm. Draft Google review replies in a warm, plain, professional voice. Sign each reply as "[firm name] team". Never use a personal name. Hard rules for every reply: - Do not confirm or deny that the reviewer is a client. - Do not mention any account, amount, deadline, filing, document or detail of their books, even if the review mentions it. - No discounts, refunds, gifts or anything offered in exchange for changing a review. - No legal or tax statements, and no admission of fault beyond "we are sorry this was your experience". - Under 80 words for positive and star-only replies, under 120 for neutral and negative. - Invite private follow-up only through [office phone or email that is on our profile]. Write: 1. Two POSITIVE templates (5 stars with text). Each picks up one detail of the review in a general way, shown as [detail]. 2. Two NEUTRAL templates (3 stars or mixed). Thank them, acknowledge the mixed experience, and invite a conversation. 3. Two NEGATIVE templates (1 to 2 stars). Calm, no arguing, no details, move it offline. 4. Two STAR-ONLY templates for ratings with no text: one for 4 to 5 stars, one for 1 to 3 stars. Then, if I paste a real review below, write one tailored reply following the same rules. Review (optional): [paste review text and star rating, without the reviewer's name]
Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.
Works in any chat assistant. Paste a real review only after removing anything that identifies a client.

What to review
Read each reply as if a stranger and the reviewer will both see it, because they will. Remove client details, any promise you cannot keep, and any offer tied to the review. If a review may break Google's policies, flag it through the profile instead of arguing in the reply.

Google's Business Profile Help says reviews are useful to potential customers when they are honest and objective, and that a mix of positive and negative reviews is more trustworthy. It says to value all reviews, reply to them, and remind customers to leave reviews, and that business owners should not offer incentives. Google's Maps content policy prohibits fake engagement, which rules out writing or buying reviews for your own or a competitor's profile.

Google's Business Profile Help describes three post types: Updates, Offers (title, dates and time required, with a View Offer button) and Events (title, start and end dates). Google says posts with a phone number in the text may be rejected, and that posts older than 6 months are archived unless a date range is set.

Audit your bookkeeping firm's Google Business Profile categories and attributes with AI
Google's Business Profile Help says to pick a primary category that best describes the business, choosing the most specific option on its list, and notes you cannot create your own category. You can add up to 9 more categories, but Google says not to use categories as keywords or to describe features. Changing a category may trigger re-verification. Attributes describe the business, some factual ones can be edited, and subjective ones come from Google users.

Write your bookkeeping firm's Google Business Profile description and services within Google's limits
Google's Business Profile Help says the description should cover what you offer, what makes you special and how long you have been in business, must stay within 750 characters, and must not include URLs or HTML. Google's guidelines add that descriptions should not focus on promotions, prices or sales, and should not show links or gimmicky characters. Google also offers AI-written descriptions in some regions and says to review them for accuracy.
