Can ChatGPT do bookkeeping?

Short answer

ChatGPT can do much of the analysis around bookkeeping: it can read uploaded spreadsheets, clean data, compare exports, help sort out reconciliation issues and draft summaries. It does not replace your accounting software or the person who knows the books. Use it as an assistant inside your process, not as the ledger, and treat what it returns as a draft.

How to use ChatGPT for bookkeeping safely

  1. 1Pick a task that ends in something you can check, such as a list of differences, a formula or a draft email.
  2. 2Export the data from your accounting software as CSV or XLSX, and remove client names, account numbers and tax identifiers.
  3. 3Use a plan whose data settings you have reviewed, and follow your firm's or client's policy on AI tools.
  4. 4Upload the file and give a specific prompt: the task, your rules, and the table you want back.
  5. 5Check totals and a sample of lines against the source, then make any changes in the ledger yourself.

What bookkeeping tasks can ChatGPT handle?

Give it a CSV or XLSX file, or connect Google Drive or OneDrive, and ChatGPT writes and runs the code to answer your question; it can clean data, merge columns, spot anomalies and add new fields with a single prompt[1]. Board-ready summaries from financial statements and budget spreadsheets are another listed use[2].

Accountants are using it the same way. The Journal of Accountancy describes it building Excel spreadsheets from scratch, analyzing existing files and helping sort out reconciliation issues; in one example, an accountant uploads a journal entry log and gets back a formula that reclassifies miscoded expenses[3]. CPA Practice Advisor says tools like ChatGPT can streamline financial statement analysis and other client accounting service tasks[4].

What can't ChatGPT do in bookkeeping?

It does not replace your ledger. Bank feeds, bank rules, approvals and the record of who posted what live in your accounting software, and ChatGPT's output is a draft you bring back there.

Scanned documents are a known weak spot. OpenAI's help center says ChatGPT may not reliably extract exact values from image-based tables, scanned files or files with complex visual layouts[5], which covers many receipts and paper statements.

Do you still need a bookkeeper if you use ChatGPT?

Yes. ChatGPT speeds up the work, but someone who knows the books still has to check it; even OpenAI says its output can be wrong[6].

Is client data safe in ChatGPT?

It depends on the plan and settings. By default, OpenAI does not use business customer content from ChatGPT Enterprise and ChatGPT Business to train its models[7]. On consumer plans, turning off Improve the model for everyone stops new conversations being used for training[8]. Our guide on uploading bank statements covers this in more detail.

Frequently asked questions

Can ChatGPT replace QuickBooks or Xero?
No. ChatGPT can analyze exports and draft work, but your accounting software holds the ledger, bank feeds and posting history. Make changes there, after you check ChatGPT's output.
What file types can ChatGPT read for bookkeeping?
OpenAI lists spreadsheets such as .xls, .xlsx and .csv files for data analysis[5], and supported upload formats include CSV, XLSX, PDF, DOCX and images[2].
Is ChatGPT accurate enough for bookkeeping?
Not on its own. Treat every answer as a draft[9].
Should I put client information into ChatGPT?
Only on a plan and settings your firm has approved, and only what the task needs. The Journal of Accountancy advises never entering client or confidential information[3], and CPA Practice Advisor says data should be anonymized first[4].

Reclassify Miscoded Expenses in Excel with AI

In this Journal of Accountancy Tech Q&A, a CPA and accounting professor shows an accountant uploading a journal entry log where every expense was coded to Office Supplies. ChatGPT scans the Description column for keywords like laptop and monitor and builds a formula that adds a Reclassified Account column, for example moving those items to Computer Equipment. The author stresses checking the AI's work and never entering client or confidential information into ChatGPT.

Categorize Leftover Expenses with AI After Bank Rules

This Brocent guide argues that QuickBooks and Xero bank rules should handle recurring transactions deterministically, and that ChatGPT is best used for the residue of unrecognised payees, split transactions and anomaly review. It recommends exporting uncategorised transactions to CSV with the real chart of accounts, asking for a suggested category with a confidence note and flags, and reviewing everything before posting. It stresses never auto-posting AI output, keeping an audit trail and leaving tax judgements to an accountant.

Build Horizontal, Trend and Ratio Analysis in Excel with AI

A Journal of Accountancy technology Q&A shows how ChatGPT-4o can create Excel spreadsheets from scratch and analyze uploaded files. In the financial analysis example, the author pasted raw financial data and ChatGPT returned a workbook with tabs for Raw Financials, Horizontal Analysis, Trend Analysis and Ratio Analysis. The author advises being specific in the prompt if you want working formulas rather than values.

Turn Bookkeeping Processes into SOPs and Checklists with AI

Financial Cents' guide to ChatGPT for accounting firms lists writing SOPs, checklists and workflow documentation as a practical use case, turning how a task is already done into a repeatable procedure another team member can follow. Its example approach asks the assistant to use only the steps described and to ask about gaps rather than invent steps. The article also notes that ChatGPT is a general-purpose chatbot whose answers can be generic compared with AI built into practice management software.
