Claude for bookkeeping: what it can and cannot do
Short answer
Claude can read and edit spreadsheets, PDFs and CSV exports, reconcile data from different sources into one workbook, draft entries and emails, and work inside Excel or search Gmail on paid plans. It is not your ledger and it can be wrong, so treat its work as a draft you check and post yourself.
How to start using Claude for bookkeeping
- 1Pick one recurring task with a checkable result, such as a reconciliation workbook, a set of adjusting entries or a list of missing invoices.
- 2Check your plan and its data settings, and follow your firm's or client's policy on AI tools.
- 3Set up a project for each client with the chart of accounts and coding rules, so every chat starts from the same context.
- 4Export the data as CSV or XLSX, remove details the task does not need, and give Claude the task, your rules and the output you want.
- 5Turn on permission settings so Claude shows its plan before acting, then review every change before you post anything to the books.
What can Claude do for bookkeeping?
Anthropic lists spreadsheets (.xlsx, .xls, .xlsm), CSV, TSV and PDF among the files Claude can read, create, edit and analyze, and names reconciling data from different sources into a spreadsheet or dashboard as a common use[1]. It hands back real files, such as spreadsheets, that you review, edit and sign off on[1].
Inside Excel, Claude for Excel answers questions about an open workbook with cell-level citations, identifies errors and their root causes, and works across multi-tab workbooks; it is available on Pro, Max, Team and Enterprise plans[2]. Anthropic says changes in Excel show as highlighted cells for you to review[1].
How do Claude projects help with client work?
Projects are self-contained workspaces with their own chat histories and knowledge bases, and project instructions tell Claude how to behave in every chat in that project[3]. One project per client, holding that client's chart of accounts and coding rules, keeps answers consistent from month to month. Free accounts can create up to five projects[3].
Can Claude search my email for invoices?
With the Gmail connector on Pro, Max, Team and Enterprise plans, Claude can search your email and answer with citations that link to the messages it used, and it only sees email you can already see[4]. That makes it useful for finding a missing bill or a vendor's statement before you close the month.
What can't Claude do in bookkeeping?
It does not replace your accounting software. Bank feeds, approvals and the record of who posted what stay in your ledger, and Claude's output is a draft you bring back there. It can also be wrong: Anthropic's Excel documentation says to review changes before finalizing and to check outputs against your own judgment[2].
Files from outside your firm need care. The same documentation warns that files from external sources can contain hidden instructions that try to manipulate the add-in, and suggests starting with a trusted copy[2]. Claude also does not decide tax treatment; send those questions to a tax professional.
Is client data safe in Claude?
It depends on the plan. On consumer plans such as Free, Pro and Max, Anthropic uses chats to improve its models if you choose to allow it, and Incognito chats are not used even when that setting is on[5]. For commercial products such as Claude for Work and the API, Anthropic says it does not use inputs or outputs to train its models by default[6]. Either way, remove details the task does not need before you upload.
Frequently asked questions
- Is Claude free for bookkeeping?
- There is a free plan, and free accounts can create up to five projects[3]. Claude for Excel needs a Pro, Max, Team or Enterprise plan[2], and so does the Gmail connector[4].
- Can Claude connect to QuickBooks or Xero?
- Xero has an official Claude connector, listed in Claude's connectors directory[7]. It is read-only: Claude can answer questions about profit, cash, invoices and bills from live Xero data but cannot change your books, and it works on free or paid Claude plans with an active Xero subscription[8]. For other accounting software, check Anthropic's connectors directory and export CSV or XLSX files if there is no connector.
- Should I use Claude or ChatGPT for bookkeeping?
- Either can analyze exports and draft entries or emails. Choose by the plan your firm has approved, its data settings, and the apps it needs to work in, such as Excel or Gmail. Our ChatGPT vs Claude vs Grok vs Gemini for bookkeeping guide compares all four.
- Will Claude post entries to my books?
- Treat it as a drafting tool. Review what it prepares and post entries in your accounting software yourself, so the record of who approved each entry stays in the ledger.

Draft Adjusting Journal Entries for Review with Claude
Anthropic's prompt engineering overview says to start with three things: a clear definition of the success criteria for your use case, some way to test against those criteria, and a first draft prompt you want to improve. It points to Anthropic's prompting best practices for the techniques themselves, from clarity and examples to XML structuring, role prompting, thinking and prompt chaining. It also notes that not every failing result is best solved by prompt engineering. For adjusting entries, the success criteria are easy to write down: every entry balances, uses only accounts on the chart, and names its support.

Keep Each Client's Coding Rules in a Claude Project
Anthropic's help center describes Projects as self-contained workspaces with their own chat histories and knowledge bases. Anything uploaded to a project's knowledge base is used across all chats in that project, and project instructions tell Claude how to behave and respond in every chat there. Projects are available on free accounts, which can create up to five. Context is not shared across chats within a project unless it is added to the project knowledge, and on paid plans Claude automatically enables RAG mode when project knowledge approaches the context window limit.

Trace Formula Errors in an Inherited Workbook with Claude for Excel
Anthropic's documentation describes Claude for Excel as an add-in for Pro, Max, Team and Enterprise plans that brings Claude into Excel. It can answer questions about an open workbook with cell-level citations, adjust assumptions while keeping formula relationships intact, identify errors and their root causes, and work across multi-tab workbooks. It can also sort, filter, edit pivot tables and add data validation dropdowns. The documentation warns that files from external sources can contain hidden instructions that try to manipulate the add-in, and says to start with a trusted copy before asking Claude to edit widely.

Find Missing Vendor Invoices in Gmail with Claude
Anthropic's documentation for the Gmail connector says Claude can search your email and answer questions from what it finds, with citations that link back to the messages it used. It is available on Pro, Max, Team and Enterprise plans, and on Team and Enterprise plans an Owner or Primary Owner enables it before members can connect. Claude accesses only the connected Google account and only email you can already see, retrieves the minimum information needed, and cannot see images embedded in emails. Anthropic's Google Workspace connector help page adds that Gmail access covers attachment metadata, not attachment content.
