How to use ChatGPT for bank reconciliation

Short answer

To reconcile a bank account with ChatGPT, export the bank statement and your cash account ledger detail for the same period as CSV files, remove sensitive details, upload both, and ask ChatGPT to match the lines and list reconciling items. Then check each item against source documents and confirm the balances agree before you post anything.

Step by step: bank reconciliation with ChatGPT

  1. 1Export the bank statement for the period as CSV, plus the statement's opening and closing balances.
  2. 2Export the cash account's general ledger detail for the same dates, also as CSV.
  3. 3Remove account numbers, card numbers, names and anything else that identifies a person.
  4. 4Upload both files and paste the prompt below, filling in the bracketed details.
  5. 5Check every unmatched item and suggested entry against bank activity and source documents.
  6. 6Post approved adjustments in your accounting software, confirm the adjusted balances agree, and file the reconciliation for review.

Copyable prompt: bank reconciliation with ChatGPT

Upload both CSV files first, then paste this prompt and replace the bracketed details.

Copyable prompt

You are helping me reconcile a business bank account for [month and year].

I have uploaded two files:
1. bank.csv: the bank statement lines (date, description, amount).
2. ledger.csv: the cash account ledger detail from [QuickBooks Online / Xero / other] for the same dates.

Statement opening balance: [amount]. Statement closing balance: [amount].
Ledger cash balance at period end: [amount].

Please:
1. Match bank lines to ledger lines by amount and date (allow [3] days of difference). Show the matching rule you used.
2. List bank lines with no ledger match, and ledger lines with no bank match, in two separate tables.
3. Flag possible duplicates and amounts that match but have different signs.
4. Label each unmatched item as a likely timing difference (such as an uncleared check or deposit in transit) or a likely missing or wrong entry, and explain why.
5. Show a reconciliation summary: statement closing balance, plus deposits in transit, minus outstanding checks, equals adjusted bank balance; ledger balance, plus or minus corrections, equals adjusted book balance.
6. Do not guess. If something is unclear, list it as a question for me.

Return tables I can download as CSV. Do not post or change anything; this is for my review.

Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.

Worked example: one month, two reconciling items

The numbers here are illustrative. Say the statement closes at $8,420.15 and the ledger shows $9,000.15 in cash. ChatGPT comes back with two unmatched items:

  1. A $500.00 deposit entered in the books on the last day of the month that the bank has not cleared yet. That is a timing difference: a deposit in transit.
  2. An $80.00 monthly bank fee on the statement that was never entered in the books.
Bank side
Statement closing balance$8,420.15
Add deposit in transit+ $500.00
Adjusted bank balance$8,920.15
Book side
Ledger cash balance$9,000.15
Less bank fee not yet recorded- $80.00
Adjusted book balance$8,920.15

The two adjusted balances agree, so you post the $80.00 fee in your accounting software and file the reconciliation. The deposit needs no entry; it should clear on next month's statement. If the balances did not agree, the gap between them is the amount you still have to find.

What is a bank reconciliation?

Xero defines bank reconciliation as matching the transactions in your accounting records with the transactions on your bank statement, and calls any transaction that appears in one record but not the other a reconciling item[1]. The point, as AccountingCoach puts it, is to prove the Cash account is complete and accurate[2]. Xero notes that monthly is the standard for most small businesses[1].

What files does ChatGPT need for a bank reconciliation?

Two exports for the same period: the bank statement and the cash account ledger detail. ChatGPT supports uploads including CSV, XLSX and PDF[3]. CSV works best, because OpenAI says ChatGPT may not reliably extract exact values from scanned files or image-based tables[4].

Size limits apply. OpenAI's file uploads FAQ says CSV and spreadsheet files cannot exceed approximately 50MB, depending on row size[5]. If a file is very large, OpenAI suggests splitting it or focusing prompts on specific sections[3], so reconcile one month at a time.

How do you check ChatGPT's reconciliation?

Start with the totals. The statement's opening balance plus deposits minus withdrawals should equal its closing balance, and the adjusted bank balance should equal the adjusted book balance. Then trace each reconciling item to the bank activity or a source document. The Journal of Accountancy, which names reconciliation issues as a task ChatGPT can help with, also warns that it can be incorrect at times[6].

Frequently asked questions

Can ChatGPT read a PDF bank statement?
It can accept PDFs[3], but OpenAI says it may not reliably extract exact values from scanned or image-based tables[4]. Use a CSV export where possible, and tie out the totals if you start from a PDF.
Can ChatGPT post the adjusting entries for me?
No. ChatGPT works on the files you give it. Review its suggested entries and post the ones you approve in your accounting software yourself.
How often should I reconcile my bank account?
Xero says monthly is the standard for most small businesses[1]. Busy accounts may need weekly reconciliations.
Is it safe to upload bank statements to ChatGPT?
Remove account numbers and personal details first, and check your plan's data settings. OpenAI does not train on ChatGPT Business or Enterprise content by default[7]. See our guide on uploading bank statements for more.

Triage Unmatched Bank Transactions and Miscoding with an AI Exception Review

This Workplace AI Institute article argues that bookkeepers should let accounting platforms do bulk bank matching and then hand only the exception list to a general-purpose model such as ChatGPT or Claude. It describes exporting unreconciled items as a CSV and asking the model, using its analysis tool, to find likely duplicates, flag GL coding inconsistent with the payee, and list large items to confirm with the client. The article warns that models can be confidently wrong about specific dollar amounts and that the review is a triage tool, not a posting tool.

Reconcile a bank statement export against your chart of accounts with Claude Cowork

Claude Academy walks through giving Cowork a folder with a checking account statement export and the chart of accounts, then asking it to match transactions to accounts, flag anything that does not line up, and draft journal entries for discrepancies. Claude may ask clarifying questions and build a plan for review, then returns the reconciliation logic, specific discrepancies and journal entries ready for review. Suggested follow-ups include exporting entries as CSV and creating a reconciliation summary for the records.

Reconcile two Excel tables with the Microsoft Financial Reconciliation agent

Microsoft Learn explains that the Financial Reconciliation agent in the Finance Agent add-in for Excel reconciles two data sets formatted as tables on one or two worksheets. The agent suggests the tables and uses AI to propose reconciliation vectors (mapping and monetary keys) that you can keep, edit or remove before selecting Reconcile data. The resulting report groups transactions as matched, potentially matched or unmatched and includes a generative AI summary, with a Troubleshoot transactions feature for the unmatched items.

Reconcile the Payroll Register to Bank Payouts with AI in Excel

This Bricks guide walks through reconciling a payroll register against bank payout data in Excel with ChatGPT's help. It suggests asking ChatGPT for a reconciliation plan, then for XLOOKUP formulas to pull bank amounts next to net pay, IF formulas to flag differences, and COUNTIF formulas to find payments to people not on the register. It ends with a summary tab showing totals, overall variance and counts of discrepancies.
