How to keep track of sales tax with AI
General information, not tax advice; confirm with a tax professional.
Short answer
Track three things: where you have to collect, what is taxable, and whether what you collected matches what you owe. An assistant can total sales by state from your invoice export so you can compare them with each state's threshold, and Avalara's Avi answers taxability questions with citations. Confirm the rules with the state before you rely on them.
How to track sales tax with AI
- 1Export the last 12 months of invoices or orders with the ship-to state, amount and order count.
- 2Ask an assistant to total sales and transactions by state, and compare them with each state's published remote seller threshold.
- 3Register in any state where you have a physical presence or meet the threshold, before you start collecting there.
- 4Check the taxability of each product or service type with a research tool that cites its sources, or with the state itself.
- 5Each month, tie the sales tax collected in your sales records to the sales tax payable account, by state, before you file.
Copyable prompt: sales by state against thresholds
Upload 12 months of invoices or orders as CSV. Look up each state's current threshold first and fill in the list.
Copyable prompt
I sell [products or services] from [home state] and want to know where I may need to collect sales tax. I have uploaded sales.csv: date, order or invoice number, ship-to state, sale amount, sales tax charged. Thresholds I looked up from each state's own guidance: [State: $ amount and/or number of transactions, and whether it is sales OR transactions, or both] Please: 1. Total sales and count transactions by ship-to state for the 12 months in the file. 2. Compare each state with the threshold I listed. Mark it "over", "within 20%" or "under". 3. List states where I charged sales tax, with the total charged. 4. Flag any state that is "over" where I charged no sales tax, and any state where I charged tax but did not list a threshold. Use only the thresholds I gave you. If a state isn't on my list, say "threshold not provided". Don't tell me whether a product is taxable.
Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.
When does a small business have to collect sales tax in another state?
If you have a physical presence in a state, you have to register there regardless of how much you sell. If you sell into a state without one, you are a remote seller, and economic nexus laws require you to register and collect once your sales into that state meet its threshold[1]. Many states count sales or transactions, some require both, and the sales figure may be gross sales, gross revenue, retail sales or taxable sales[1].
Can AI tell you whether a product is taxable?
A research tool built for it can help. Avalara's Avi for Tax Research is a conversational agent trained on Avalara's compliance content: you ask taxability, exemption and rate questions and get explanations with links to supporting citations, and it keeps the context, so you can ask about the same sale in a second state without restating it[2]. Whatever tool you use, open the citation and read the rule itself.
What does accounting software do about sales tax?
Intuit's October 2025 announcement describes a Sales Tax Agent for QuickBooks that will help charge the correct sales tax, identify potential sales tax issues and suggest fixes before filing[3]. Check what your plan includes, and keep the monthly tie-out either way.
Frequently asked questions
- Where can I find each state's sales tax threshold?
- The Streamlined Sales Tax site keeps a chart of each state's remote seller threshold with links to each state's guidance. It says the chart is general guidance and does not override any state's laws[1], so check the state's own page too.
- Can ChatGPT work out sales tax by state?
- It can total sales and tax collected by state from your export, which is arithmetic you can check. Take rates and taxability from the state or a research tool that cites its sources.
- How do I check the sales tax I collected?
- Each month, compare the sales tax charged on invoices with the balance in the sales tax payable account, state by state, and explain any difference before you file.
