How to use AI for accounts payable

Short answer

AI helps most in accounts payable where the work is reading and comparing documents: capturing invoice data, coding bills, matching invoices to purchase orders and receipts, reconciling vendor statements and drafting a payment run from the aging report. AP platforms build this in, and general assistants can do the comparisons on exported files. A person still approves every bill and payment.

How to add AI to your AP process

  1. 1Map your AP steps from invoice arrival to payment, and mark the ones that are mostly reading, typing or comparing.
  2. 2Decide where each step will run: inside your AP or bill pay platform, or in a general assistant working on exported CSV files.
  3. 3Start with one step that ends in something you can check, such as an exceptions list from a three-way match or a vendor statement reconciliation.
  4. 4Write down your rules first: price and quantity tolerances, approval limits, which vendors are always paid and how duplicates are flagged.
  5. 5Keep approvals and payment release with people, and file the AI output with the period's AP support.
  6. 6Review results each month and widen the scope only where the exceptions were right.

Copyable prompt: find AP steps worth automating

Copyable prompt

Here is how accounts payable works for [business type] today: [describe how invoices arrive, who codes them, who approves, how payments are made, and roughly how many bills a month].

Please:
1. List each AP step in order.
2. For each step, say whether it is mostly reading, typing, comparing or deciding.
3. Suggest where AI could help, and whether that belongs in an AP platform or in a general assistant working on exported files.
4. For each suggestion, name the check a person should do before relying on the output.
5. Recommend one step to start with and explain why.

Do not recommend letting AI approve bills or release payments.

What can AI do in accounts payable?

Invoice capture and coding is where many teams start. BILL describes its AI pulling vendor name, invoice number, dates, amount, terms and PO number into bills, warning about duplicate invoices and flagging potentially missing bills[1]. Stampli says its assistant matches PO invoice details to the purchase order and flags discrepancies, and for non-PO invoices identifies cost center and expense type[2].

Matching and approvals come next. Tipalti lists task agents for invoice capture, PO matching and bill approver recommendations, and says AI outputs can be inaccurate or incomplete, so important results need review[3]. Firms handling many clients use the same idea at scale; Vic.ai's case study describes an outsourced accounting firm moving its accountants from manual entry to AI-assisted review[4].

Can ChatGPT, Claude, Grok, Gemini or Copilot help with AP?

Yes, on exported files. Three-way matching compares the invoice price with the purchase order and the invoice quantity with what was received, and flags anything outside your tolerance[5]. Claude can run code on uploaded data files and return an Excel workbook with working formulas[6], which suits three-way matching POs, receipts and invoices with Claude.

A vendor reconciliation compares the supplier's statement with your AP ledger, matches invoices and payments and investigates each difference[7]. ChatGPT writes and runs code to analyze uploaded CSV and XLSX files[8].

Grok can reason over attached CSV files and use code execution to calculate on them[9], which fits planning a weekly AP payment run from an aging report. If your team works in spreadsheets, Copilot in Excel can add calculated columns and explain the formulas[10], and Gemini in Google Sheets can write and help fix formulas[11].

What should stay with a person?

Approving bills, changing vendor bank details and releasing payments. AI can propose a payment list or flag a mismatch, but the decision and the audit trail belong in your AP system. If you prepare tax returns, IRS Publication 4557 says the FTC Safeguards Rule requires companies to develop a written information security plan that describes how they protect customer information[12]; list the AI tools you use for AP data in it.

Frequently asked questions

Is AI for accounts payable worth it for a small business?
It can be, if the step you automate is one you check anyway. Start with an exceptions report, such as a three-way match or a vendor statement reconciliation, rather than letting AI approve or pay bills.
Do I need AP software, or is a general AI assistant enough?
For a few dozen bills a month, a general assistant working on exported files can handle the comparisons. At higher volumes, an AP platform is often worth a look, with capture, matching and approvals built in, such as those described by BILL[1] and Tipalti[3].
Can AI pay bills on its own?
Keep payment release with a person. Use AI to propose the list and flag duplicates, then approve and send payments from your bill pay tool.
What AP data should I leave out of a chat assistant?
Bank account numbers, tax identifiers and personal details the task does not need. Vendor names can be swapped for codes before you upload.

Three-Way Match: POs, Receipts and Invoices

Microsoft Learn describes three-way matching as checking the price on a vendor invoice against the purchase order and the quantity on the invoice against the product receipts, with any difference outside a set tolerance flagged as a matching discrepancy. Its example is an invoice billed at 1.10 per unit against a PO price of 1.00 under a 5 percent price tolerance, which fails the match. The Claude Help Center says Claude can run code on uploaded CSV and other data files and create Excel spreadsheets with working formulas that you download from the conversation.

Auto-Code PO and Non-PO Invoices with Stampli's Billy the Bot

Stampli's blog walks through how its AI assistant, Billy the Bot, extracts invoice data and then codes it. For PO invoices Billy associates the purchase order, pulls GL codes and matches invoice details to the PO, flagging discrepancies; for non-PO invoices it identifies cost center and expense type and flags details it needs clarified, then learns to suggest the right approver over time.

Automate Vendor W-9 Collection and Invoice Data Entry with BILL AI

BILL's accountant resource article explains how BILL AI extracts invoice details such as vendor name, invoice number, dates, amount, terms and PO number into bills, leaving fields blank when data is not recognized. It also describes duplicate invoice warnings, automatic splitting of multi-invoice documents, a Reminders report that flags potentially missing bills, and a W-9 Agent that emails vendors to collect and enter W-9s.
