Guides to AI for bookkeeping
Plain answers about using ChatGPT, Claude, Grok, Gemini and other AI in your bookkeeping. Each guide has steps, an FAQ, and a source for every claim.
Can ChatGPT do bookkeeping?
ChatGPT can do much of the analysis around bookkeeping: it can read uploaded spreadsheets, clean data, compare exports, help sort out reconciliation issues and draft summaries. It does not replace your accounting software or the person who knows the books. Use it as an assistant inside your process, not as the ledger, and treat what it returns as a draft.
How to use ChatGPT for bank reconciliation
To reconcile a bank account with ChatGPT, export the bank statement and your cash account ledger detail for the same period as CSV files, remove sensitive details, upload both, and ask ChatGPT to match the lines and list reconciling items. Then check each item against source documents and confirm the balances agree before you post anything.
Uploading bank statements to ChatGPT: is it safe?
It can be, if you pick the right plan and settings and remove what the task does not need. OpenAI says it does not train on ChatGPT Business or Enterprise content by default, and consumer users can turn off model training. Redact account numbers and names first, and if you prepare tax returns, follow your written security plan.
How to run a small-business month-end close with AI
Run the close in a fixed order: reconcile bank and card accounts, clear flagged transactions, record accruals, tie the ledger to the trial balance, then explain the big movements. AI can speed up the matching, the checks and the first draft of variance notes. Locking the period stays your call, made once the numbers tie.
How to categorize bank transactions with AI
Start with bank rules for every payee you always code the same way, then use AI for what's left: unrecognized payees, splits and one-offs. Give the assistant your real chart of accounts and ask for a suggested account with a reason and a confidence note. Turn each correction into a new rule, so next month's leftover list is shorter.
How to automate receipt capture with AI
Send every receipt to one place, let a capture tool read the merchant, date and amount, and match it to the card or bank line. Add supplier rules for vendors you always code the same way, and keep an exceptions list for anything unreadable. The IRS expects each record to show who you paid, how much, when and why.
How to use AI to follow up on overdue invoices
Export your AR aging report, ask an assistant for a chase list sorted oldest and largest first with disputed invoices held apart, and have it draft a reminder for each customer in the right tone. Check every amount and date against the aging before anything goes out. Collections tools such as Upflow, Chaser and Xero's JAX automate parts of this.
How to get ready for Form 1099-NEC with AI
Export a year-to-date payments-by-vendor report, ask an assistant to total what each vendor was paid for services, leave out card and payment app payments, and flag who is at or near the threshold. For payments made in 2026 the IRS threshold is $2,000, and Form 1099-NEC is due January 31. Request any missing W-9s now.
How to keep track of sales tax with AI
Track three things: where you have to collect, what is taxable, and whether what you collected matches what you owe. An assistant can total sales by state from your invoice export so you can compare them with each state's threshold, and Avalara's Avi answers taxability questions with citations. Confirm the rules with the state before you rely on them.
How to build a 13-week cash flow forecast with AI
Start from this week's cash balance and project collections, payments and payroll week by week for 13 weeks, so each week's closing cash becomes the next week's opening cash. Time collections by how fast each customer actually pays, not by their terms. Claude in Excel can build the workbook, and Xero's JAX can project cash flow from Xero data.
Claude for bookkeeping: what it can and cannot do
Claude can read and edit spreadsheets, PDFs and CSV exports, reconcile data from different sources into one workbook, draft entries and emails, and work inside Excel or search Gmail on paid plans. It is not your ledger and it can be wrong, so treat its work as a draft you check and post yourself.
ChatGPT vs Claude vs Grok vs Gemini for bookkeeping
All four can read a CSV bank export, a spreadsheet, a PDF statement or a receipt photo, and all four have a free plan. The differences that matter for bookkeeping are how much one chat can read at once (long statements), how big a file you can upload, whether your chats are used to train the AI, and which team plans keep client data out of training. None of them is your ledger. Treat every answer as a draft you check before you post anything.
How to use AI for accounts payable
AI helps most in accounts payable where the work is reading and comparing documents: capturing invoice data, coding bills, matching invoices to purchase orders and receipts, reconciling vendor statements and drafting a payment run from the aging report. AP platforms build this in, and general assistants can do the comparisons on exported files. A person still approves every bill and payment.
Year End Donor Statements with ChatGPT and Other AI Tools
An AI chat tool can take some of the typing out of year end donor statements. It can help you spot messy donor records, check totals and draft a friendly cover letter. It can't know whether your records are right, and it doesn't decide what a statement must say. You still review every line.
