How to automate receipt capture with AI

General information, not tax advice; confirm with a tax professional.

Short answer

Send every receipt to one place, let a capture tool read the merchant, date and amount, and match it to the card or bank line. Add supplier rules for vendors you always code the same way, and keep an exceptions list for anything unreadable. The IRS expects each record to show who you paid, how much, when and why.

How to set up AI receipt capture

  1. 1Choose one capture point: your capture tool's email address, your card platform's receipt inbox or a shared folder.
  2. 2Forward emailed receipts automatically, and photograph paper receipts the day you get them.
  3. 3Let the tool read the merchant, date, amount and tax, and match each receipt to its card or bank transaction.
  4. 4Set supplier rules, so receipts from regular vendors are coded and published the same way every time.
  5. 5Each week, work the exceptions list: unreadable scans, missing receipts and receipts with no matching transaction.
  6. 6Keep the receipt image attached to the transaction in your accounting software.

Copyable prompt: receipts to a CSV log

Upload a batch of receipt images or PDFs (or paste the text of emailed receipts), then paste this prompt. Remove card numbers first.

Copyable prompt

I'm logging business receipts for [business name, or "a small business"].

I have uploaded [number] receipts as images, PDFs or pasted text.

Extract these fields from each receipt into one CSV, one row per receipt:
file name, vendor, date (YYYY-MM-DD), total, tax, currency, payment method (card, cash, bank transfer or other), last 4 digits of the card if shown.

Rules:
1. Copy values exactly as printed. Do not guess. If a field is missing, unreadable or cut off, leave it blank.
2. Add a "flags" column naming every field you left blank or could not read clearly, for example "date unreadable".
3. If a file is not a receipt (a statement, a quote, a marketing email), keep its row, leave the fields blank and flag it "not a receipt".
4. If two files look like the same receipt, flag both "possible duplicate".
5. After the CSV, list the flagged rows so I can check them against the original receipts.

Do not categorize expenses or decide what is deductible. I will review every flagged row myself.

Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.

What should a receipt record show?

The IRS says supporting documents for business expenses should identify the payee, the amount paid, proof of payment, the date incurred and a description showing the amount was for a business expense, and that a combination of documents may be needed to cover all of that[1]. The same IRS page says every requirement for paper books and records also applies to electronic records[1]. That is why a capture tool keeps the receipt image attached to the card or bank line.

How do AI receipt tools read and match receipts?

Zoho Expense's Autoscan reads the date, amount, currency and merchant from an uploaded receipt and creates the expense, and it can pull line items from receipts in more than 14 languages[2]. Ramp fetches receipts from Gmail or Outlook and matches them to card transactions using card network data[3]. Dext's AI Assist suggests category, tax and description values and explains each suggestion[4].

Can receipts publish to the books automatically?

Yes, for suppliers you trust. Hubdoc can publish a supplier's documents straight to Xero once autosync is on for that supplier, though anything detected as a credit note waits for you[5]. Dext's Auto-publish works from rules set per supplier, customer or payment method, and items with missing fields or suspicious flags stay in the inbox[6].

Can I build my own receipt log?

Yes. A published n8n template watches Gmail and a Google Drive folder, uses Claude to pull out vendor, date, total, currency, category and payment method, filters out messages that are not receipts, and appends each expense to a Google Sheets log with a link to the original[7].

Frequently asked questions

How long should a small business keep receipts?
The IRS's general rule is 3 years, with longer periods in some cases: 6 years if you leave out income worth more than 25 percent of the gross income on your return, and 7 years for a worthless securities or bad debt claim[8].
Is a scanned receipt as good as the paper one?
The IRS says the requirements for paper records also apply to electronic ones[1], so the image has to show the same details the paper would. Rescan anything faded or cut off.
What if the AI misreads a receipt?
Fix it on the exceptions list before it publishes. Dext lets you set each guidance rule to manual review or auto-apply[4], so keep new suppliers on manual review until the readings are reliable.
