ChatGPT vs Claude vs Grok vs Gemini for bookkeeping
Short answer
All four can read a CSV bank export, a spreadsheet, a PDF statement or a receipt photo, and all four have a free plan. The differences that matter for bookkeeping are how much one chat can read at once (long statements), how big a file you can upload, whether your chats are used to train the AI, and which team plans keep client data out of training. None of them is your ledger. Treat every answer as a draft you check before you post anything.
How to pick an AI for your bookkeeping
- 1Pick the one task that takes you the most time each month, such as bank reconciliation, categorizing transactions or receipts.
- 2Turn off model training in the AI's settings before you upload anything, or use a business plan that does not train on your data. See the privacy section below.
- 3Export the data as CSV or Excel from your bank or from QuickBooks, and remove details the task does not need, such as full account numbers.
- 4Run one month of real work in one tool and check every result against your books.
- 5Keep the prompts that work. Our prompt library has ready-made ones you can copy, and the Bookkeeping Prompt Kit bundles them in one download.

Good to know for receipts and scanned statements: OpenAI says ChatGPT may not reliably pull exact numbers from scanned files or image-based tables, and suggests uploading a spreadsheet or text file when exact values matter [4]. Claude reads only the text in non-PDF documents, so images placed inside a Word file are skipped [6]. Grok also says images inside non-PDF files may not be read [10]. If your bank offers a CSV export, use it. Our statement converters page covers turning PDF statements into spreadsheets.
Spreadsheet and data analysis features
ChatGPT can summarize rows and columns, find outliers, build tables and charts, and run Python calculations on uploaded files [4]. OpenAI suggests clear column headers in the first row and one record per row, and says the analysis tool cannot reach the web, so upload everything it needs [4]. Paid plans list extensions for Excel and Google Sheets, with limited access on Free and Go [1].
Claude can create and edit files with code execution on every plan, including Free [5]. Claude for Microsoft 365, which includes working inside Excel, is on Pro, Max and paid team plans, not Free [5]. Our guide to Claude for bookkeeping goes deeper.
Grok lists analyzing spreadsheets and finding trends in a CSV among the things it can do with uploaded files [10]. xAI says very long files may be summarized or handled in sections [10], so check that every row was used.
Gemini can make and edit charts from uploaded spreadsheets in the web app [16]. On Google Workspace business plans, Gemini in Sheets is included from the Business Standard plan up, not Starter [18].
Long bank statements: how much one chat can read
A "context window" is how much text the AI can work with at once. A full year of transactions can be too much for a small one, and the AI may then miss rows without telling you.
- ChatGPT: the standard (Instant) model takes about 12 pages of input on Free, about 40 pages on Go and Plus, and about 250 pages on Pro. The reasoning model takes about 320 pages on Go and Plus and about 680 pages on Pro [1]. Spreadsheet files are not capped by the 2 million token per file limit that applies to documents [2].
- Claude: the pricing page lists a context window of up to 1 million tokens, varying by model, on every plan including Free [5]. On paid plans, models not on Anthropic's list have 200K tokens, which Anthropic puts at about 500 pages of text or more [7].
- Grok: xAI says very long files may be summarized or handled in sections [10]. The sources above don't list an official context window number for the Grok apps.
- Gemini: 32K tokens without a paid plan, 128K on AI Plus and 1 million on AI Pro and AI Ultra [17]. Google says 1 million tokens is about 1,500 pages of text [16].
Tip: for a long statement, ask the AI to tell you how many rows it read and the starting and ending balance it found. If those do not match your file, split the file by month.
Is my client data used to train the AI?
This matters more than any feature. Read our full guide on whether it is safe to upload bank statements.
| Topic | Personal plans | How to opt out | Business plans |
|---|---|---|---|
| ChatGPT | Training is on by default on Free, Plus and Pro [3] | Settings, Data controls, turn off "Improve the model for everyone." Temporary chats are not used for training [3] | Business and Enterprise are not used for training by default [3][14] |
| Claude | Used only if you allow it, plus chats flagged for safety review [8] | Turn off Model Improvement in Privacy Settings. Incognito chats are never used for training [8] | Team and Enterprise are not used for training by default [19] |
| Grok | Your content may be used for training unless you turn it off [12] | Settings, Data Controls (app) or Settings, Data (web), turn off "Improve the model." Private Chat is not used for training [12] | Business plan lists "No training" [11]. xAI says it does not train on business data [13] |
| Gemini | Chats may be reviewed by people and used to improve Google AI while Keep Activity is on [20] | Turn off Keep Activity, or use a temporary chat [20] | On Workspace, content is not human reviewed or used for training outside your organization without permission [21] |
One thing all four share: if you click thumbs up or thumbs down on an answer, that conversation may be used even after you opted out [3][8][12][20]. Skip the feedback buttons on client work.
Which one fits which bookkeeping task?
Based on what each company publishes:
- Long CSV or Excel exports from QuickBooks or your bank: pick a plan with a large context window, such as Claude, Gemini AI Pro or a paid ChatGPT plan with the reasoning model [1][5][17].
- Receipt photos: all four take photos [2][6][10][16]. Check totals and tax by hand, since OpenAI warns exact values from images may be unreliable [4].
- Working inside a spreadsheet: ChatGPT has Excel and Google Sheets extensions on paid plans [1]. Claude works inside Excel on Pro and up [5]. Gemini is in Google Sheets on Workspace Business Standard and up [18].
- Client work for a firm: use a business plan that does not train on your data by default [3][11][19][21].
Ready-made prompts for each task: bank reconciliation, plus our bank reconciliation checklist prompt, receipts and expenses, invoices and payables, month-end close, QuickBooks and Xero with AI, and our month-end close checklist with AI.
FAQ
- Can I upload a QuickBooks export to ChatGPT, Claude, Grok or Gemini?
- Yes. All four accept CSV and Excel files [2][6][10][16]. Remove full account numbers and anything the task does not need first.
- Which AI is free for bookkeeping?
- All four have a free plan [1][5][10][15]. Free plans have lower upload and usage limits. On ChatGPT Free, that is 3 file uploads a day [2].
- Can the AI post entries to my books?
- Not the chat apps covered here. They draft the work, and you review it and post it yourself in your accounting software. See AI agents for bookkeeping for tools that connect to your ledger.
- Do I still need to check the AI's work?
- Yes, every time. Tie the totals back to your bank statement and your ledger before you post anything.

Bank Reconciliation Checklist Prompt for Any AI Chat Tool
Xero's US guide on how to do a bank reconciliation says you compare your business records to the bank statement so every recorded transaction appears on the statement and every bank line appears in the books. It walks through gathering the statement and the ledger, matching deposits and withdrawals, and finishing when the ending balances match. The FAQ gives the formula: bank statement balance plus deposits in transit minus outstanding checks equals the adjusted bank balance, which should match the adjusted book balance after timing differences.

Write Bookkeeping Excel Formulas with ChatGPT
OpenAI's help article on data analysis says ChatGPT can analyze uploaded spreadsheets, including .xls, .xlsx and .csv files, answer questions about the data and create tables or charts. It recommends descriptive column headers in the first row, one row per record, and no empty rows or columns splitting the data. For some tasks ChatGPT writes and runs Python code, and OpenAI says to review the generated code, outputs and assumptions before relying on the result. The article also notes that the number and complexity of formulas in a spreadsheet can affect processing.

Draft Adjusting Journal Entries for Review with Claude
Anthropic's prompt engineering overview says to start with three things: a clear definition of the success criteria for your use case, some way to test against those criteria, and a first draft prompt you want to improve. It points to Anthropic's prompting best practices for the techniques themselves, from clarity and examples to XML structuring, role prompting, thinking and prompt chaining. It also notes that not every failing result is best solved by prompt engineering. For adjusting entries, the success criteria are easy to write down: every entry balances, uses only accounts on the chart, and names its support.

Build a Budget vs Actual Report in Google Sheets with Gemini
Google's help page for Gemini in Google Sheets says Gemini can create tables and formulas, generate data analysis and insights, build charts, and perform actions such as conditional formatting, pivot tables, filters and number formats, each shown on a preview card you apply or undo. It works best with native Google Sheets files, so Google says to save an Excel file as Google Sheets first. Inserted charts go on a new tab with their data and do not change when the original data changes, and the conversation history is lost when you reload or reopen the file. The feature requires an eligible Google Workspace or Google AI plan.

Answer Client Accounting Questions in Plain English with Grok
xAI's developer overview describes the Responses API for generating text, multi-turn chat and function calling, alongside its voice, image and video APIs. The quick start sends a request to https://api.x.ai/v1 with an xAI API key, using either the OpenAI SDK pointed at that base URL or a curl call, and the docs also cover web search, structured outputs and the Batch API. This workflow uses the API, not the Grok app: a small script or internal tool sends the client's question with the books data you choose to include, and you review the draft answer before anyone sends it.
