AI for invoice processing: pick by volume and approvals

Invoice tools read a PDF or email, suggest vendor, amount, due date and GL, then wait for approval. The right product depends on how many bills you post, who approves them, and whether you already pay cards on Ramp or live in QuickBooks.

We list BILL (an affiliate program we have not turned on), plus Ramp, Stampli and Tipalti, which we are not paid to list. Confirm capture accuracy, duplicate checks and accounting sync on each vendor's site.

Fit by invoice volume

Low volume (a few bills a week): start with the bill capture already in QuickBooks or Xero, or a lightweight email-to-folder workflow. A specialist AP product may cost more than it saves.

Mid volume with vendor W-9s and a bookkeeper in the loop: BILL is built for that path. Our directory includes a BILL workflow for invoice capture and W-9 collection.

Card-heavy spend plus some invoices: Ramp's bill pay and OCR sit next to the card feed. Useful if Ramp is already the spend product.

High volume, PO and non-PO mix, many approvers: Stampli and Tipalti are built for that scale. Stampli codes inside the invoice; Tipalti is often the payee and payment layer for firms that pay many vendors.

Pros and cons

BILL

Pros

  • Invoice capture, duplicate warnings and a W-9 agent are documented on BILL's site.
  • Fits bookkeepers who already route vendor bills through BILL.

Cons

  • Another login if you only post a handful of bills in QuickBooks.
  • Sync mapping still needs a review the first month.

Ramp

Pros

  • OCR and coding sit next to card spend you may already reconcile.
  • We are not paid to list Ramp.

Cons

  • Not a fit if you do not use Ramp for spend.
  • Bill pay features depend on plan. Confirm on Ramp's site.

Stampli

Pros

  • Built for PO and non-PO coding with an assistant in the invoice.
  • We are not paid to list it.

Cons

  • Overkill for a few bills a month.
  • Expect an implementation and coding-rules phase.

Tipalti

Pros

  • Strong when paying many vendors, with approval routing.
  • We are not paid to list it.

Cons

  • Usually a finance-ops project, not a weekend setup.
  • Confirm which ledgers and countries it supports for you.

Who it is not for

  • Businesses with almost no vendor bills. Use the ledger you have.
  • Teams that will not keep a person on approvals. Capture is not payment authorization.
  • Anyone who needs the tool to decide 1099 or sales-tax treatment. That is still your process and a tax pro.

Pricing (vendor pages, not ours)

We do not list prices. Plans change. Open the vendor's own pricing page and confirm what you would pay for your users, entities and country.
