Let an Upflow Collection Agent Draft Replies and Log Promises to Pay
What the source describes
Upflow's documentation describes AI collection agents that act on inbound customer emails in the Upflow AR inbox. Each agent has three skills, Replies, Promise to pay and Disputes, and admins set each skill to Off, Suggestions only or Auto-mode, then assign the agent to workflows. Replies must first be managed in Upflow, and the agent works only from customer, invoice and conversation data in Upflow.
Result or outcome
According to the source, in Suggestions only mode nothing is sent or created without user review, while Auto-mode lets the agent send replies or create promises to pay and disputes on its own, and the agent will not reply when it is not confident.
How to run it
- Turn on Handle replies in Upflow and set up reply import, since agents only act on replies in the Upflow inbox.
- As an admin, create a collection agent and set Replies, Promise to pay and Disputes each to Off, Suggestions only or Auto-mode.
- Add custom instructions for the Replies skill, or use Auto-generate instructions and edit the draft, before saving and assigning the agent to workflows.
- Review drafted replies in the Actions list, editing or sending each one; test edge cases first by running the prompt on this page.
- Move a skill to Auto-mode only after its suggestions have been consistently right for that workflow's customers.

Copyable prompt
You help me manage replies to our payment reminders for [business name]. For each customer email I paste, classify it as one of: promise to pay, dispute, request for documents, payment already sent, or other. Extract any promised payment date and amount, the invoice numbers mentioned, and the reason for any dispute. Then draft a short, polite reply that confirms what they said and gives the next step, including our payment link [link] only if relevant. If the email is a dispute, do not ask for payment, and add a note for me on what to investigate. Customer and invoice context: [paste]. Email: [paste].
Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.
What to review
Start every skill in Suggestions only and check each draft reply, promise to pay date and dispute against the invoice data before confirming. Make sure promises to pay pause reminders only for the right customer and invoices. If you enable Auto-mode, regularly review agent actions in customer timelines, and confirm replies go out from a recognized alias.

Build a Weekly AR Chase List and Reminder Drafts with AI
This free interactive lesson has a bookkeeper upload an AR aging report CSV to ChatGPT and ask for a chase list that skips invoices not yet due, holds disputed invoices in a separate list, and sorts oldest bucket first then largest amount. The user checks rows and totals against the file, then asks ChatGPT to draft friendly, firm or final reminder emails, verifies every fact, and sends the emails personally.
