AI payroll tools: run the pay, then review it
Payroll tools now flag missing hours, odd rates and unusual changes before you submit a run. That helps, but it does not replace checking the register, the ledger sync and the filings. Confirm every filing with the payroll provider or a tax professional. This page is not tax, legal or payroll-filing advice.
Gusto is listed because it is a common payroll product that syncs to ledgers such as QuickBooks and Xero. We also list Paychex, ADP, Rippling and Deel from workflows already in this directory. We are not paid for those listings.
Ledger sync
A payroll run is not done when people are paid. The expense, liability and cash (or payroll-clearing) accounts have to land in the books. Gusto, QuickBooks Payroll and the other providers here advertise ledger sync or export. Confirm which accounts map, whether benefits and contractor payments sync, and whether you still post a journal for anything the sync skips.
After each run, compare the payroll register totals to the general ledger. We have free workflows for reconciling a payroll register to the bank and to the GL with a general assistant.
Payroll review prompts
Use a review prompt on a redacted register (employee IDs only, no names, SSNs or bank details). Ask for: hours or rates that jumped versus last period, duplicate IDs, people paid this period who were not paid last period, and missing people. Then check the flags yourself.
Do not ask an assistant to file forms, compute tax amounts you will submit, or decide worker classification. Confirm filings and tax treatment with the provider or a tax pro.
Fit by payroll situation
| Situation | Look at first | Review focus |
|---|---|---|
| US small business that wants HR plus payroll, syncing to an existing ledger | Gusto | Register vs ledger, benefits mapping, contractor vs employee setup (confirm with a pro). |
| You already keep the books in QuickBooks and want payroll in the same login | QuickBooks Payroll | What the native payroll posts, and what you still journal. |
| You already run payroll on Paychex, ADP, Rippling or Deel | Stay, and use that product's pre-submit flags | Exception list before submit, then register to GL. |
Pros and cons
Gusto
Pros
- Payroll plus HR admin in one place for many small US teams.
- Advertises direct sync to common ledgers. Confirm the mapping on Gusto's site.
Cons
- If you only need a pay run inside QuickBooks, a second system is extra login and extra mapping.
- Filings and tax setup still need a correct company profile. Confirm with Gusto or a tax pro.
QuickBooks Payroll
Pros
- Lives next to the books if you already use QuickBooks.
- Fewer moving parts than a separate payroll product plus a sync.
Cons
- HR and benefits are not the same product as a full HRIS.
- Not a fit if the company already runs payroll elsewhere and only needs a GL import.
Paychex, ADP, Rippling, Deel
Pros
- Each has published AI that flags issues before submit (WISE, Payroll Inspector, Rippling AI, Deel checks).
- Useful when that is already the system of record for pay.
Cons
- Switching payroll providers is operationally heavy. Do not switch only for an AI label.
- You still review the flags. None of these pages say the AI files for you without a person.
Who it is not for
- Anyone who wants an assistant to file payroll taxes or classify workers. That is a provider or tax-pro job.
- Companies that will not reconcile the register to the ledger after each run.
- Teams outside the countries and entity types a given product supports. Check the vendor's site.
Pricing (vendor pages, not ours)
We do not list prices. Plans change. Open the vendor's own pricing page and confirm what you would pay for your users, entities and country.
