Reconcile Vendor Statements to the AP Ledger with ChatGPT

Short answer

Upload the vendor's statement and that vendor's AP ledger detail to ChatGPT, ask it to match invoices, payments and credits by reference and amount, and have it list every unmatched item with a likely reason. You confirm each difference and post any correction yourself.

What the source describes

BILL's guide to vendor reconciliation describes comparing the balance on the vendor statement with the AP ledger for that supplier, matching invoices on number, date, quantity, price and tax, verifying that each payment was applied, and investigating every discrepancy with supporting documents. Its worked example finds a $1,000 difference caused by one invoice the vendor recorded at a higher amount. OpenAI Academy says ChatGPT can analyze uploaded CSV and XLSX files by writing and running code to clean data, merge columns and spot anomalies.

Result or outcome

BILL says a vendor reconciliation can catch statement errors and invoicing mistakes before they turn into duplicate payments or overpayments; in BILL's example, reconciling the statement avoided a $1,000 overpayment.

How to run it

  1. Ask the vendor for a statement dated at your period end, and export that vendor's AP ledger detail for the same dates.
  2. Remove bank details and personal information, keeping dates, references and amounts.
  3. Upload both files to ChatGPT and paste the prompt.
  4. Work through the unmatched table: post missing bills or credits once approved, and send the vendor a list of items you dispute.
  5. For bills on the statement that never reached you, run Find Missing Vendor Invoices in Gmail with Claude. The same matching habits apply in bank reconciliation, and more AP workflows are in the Invoices and AP hub.

Try it yourself

Copyable prompt

I have uploaded two files for vendor [vendor code], period ending [date]. statement.csv is the vendor's statement (date, reference, description, charges, credits, balance). ledger.csv is my AP ledger detail for this vendor (date, invoice or payment number, memo, debit, credit). Please: 1) Compare the statement's opening and closing balances with the ledger and show the difference. 2) Match lines by reference after removing prefixes, spaces and leading zeros; if a reference does not match, try the same amount within [5] days. 3) Treat credits as negative and match one payment to several invoices when the totals agree. 4) List every unmatched item in a table with: side (statement only or ledger only), date, reference, amount, and a likely reason (timing, missing invoice, payment not applied by vendor, unrecorded credit, duplicate, or amount differs). 5) Show a reconciliation from the statement balance to the ledger balance that adds up exactly. Do not invent references or amounts, and flag any line you could not read.

Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.

What to review

Check that the reconciliation adds up from the statement balance to the ledger balance with no unexplained plug. Confirm each claimed match against the original documents for a sample of lines, and never post an adjustment based only on the assistant's reason.

Find Missing Vendor Invoices in Gmail with Claude

Anthropic's documentation for the Gmail connector says Claude can search your email and answer questions from what it finds, with citations that link back to the messages it used. It is available on Pro, Max, Team and Enterprise plans, and on Team and Enterprise plans an Owner or Primary Owner enables it before members can connect. Claude accesses only the connected Google account and only email you can already see, retrieves the minimum information needed, and cannot see images embedded in emails. Anthropic's Google Workspace connector help page adds that Gmail access covers attachment metadata, not attachment content.

Benchmark a Client P&L Against Industry Norms by NAICS

This TechNews.Tax newsletter post describes how a tax firm reviews Profit and Loss statements from clients who do their own books, using an AI prompt that compares the P&L to typical expense categories and percentages for the client's NAICS code. The prompt asks for a NAICS summary, a category and percentage comparison, a judgment on whether expenses are in line (within a 10% variance), and a risk explanation for outliers. The author uses the OpenAI API but notes the same process works in ChatGPT, Gemini, Copilot or similar tools.

Reconcile the Payroll Register to Bank Payouts with AI in Excel

This Bricks guide walks through reconciling a payroll register against bank payout data in Excel with ChatGPT's help. It suggests asking ChatGPT for a reconciliation plan, then for XLOOKUP formulas to pull bank amounts next to net pay, IF formulas to flag differences, and COUNTIF formulas to find payments to people not on the register. It ends with a summary tab showing totals, overall variance and counts of discrepancies.
