Auto-Publish Routine Supplier Bills to Your Ledger with Dext Rules

What the source describes

Dext's help centre explains that Auto-publish sends eligible items to connected accounting software after data extraction, based on rules set per supplier, customer, payment method or the whole account. It works alongside supplier rules and Smart split, lets you exclude document types such as supplier statements, applies only to future documents, and Dext AI Assist can also auto-publish using guidance rules that combine conditions like supplier and amount.

Result or outcome

According to the source, transactions can be coded and published with no manual editing when Auto-publish is combined with supplier rules, while items with missing fields, suspicious flags or excluded document types stay in the inbox for review.

How to run it

  1. Export several months of published supplier items from Dext and paste them into the prompt below to rank suppliers by coding consistency.
  2. Set supplier rules with default category and tax rate for each candidate, then turn on the Auto-publish toggle in the Costs Suppliers tab.
  3. In the accounting connection settings, add Cost items exceptions such as supplier statements or credit notes you still want to review manually.
  4. For combined conditions like supplier plus amount, write an Account guidance rule in Dext AI Assist instead of a plain supplier toggle.
  5. Each week, open an item's History tab to confirm it published via autopublish, and clear anything left in the inbox for review.

Try it yourself

Copyable prompt

I want to decide which suppliers are safe to auto-publish in [document capture tool] for [client name]. Here is a 6-month export of supplier bills with supplier name, amount, category used, tax rate and whether I edited the item before publishing: [paste data]. Rank suppliers by how consistent their coding and amounts are. Recommend which ones are good candidates for auto-publish, which need an amount cap of [amount], and which should always be reviewed. For each recommended supplier, write the default category, tax rate and due-date rule I should set. Flag any supplier that also sends statements or credit notes so I can exclude those document types.

Replace the [bracketed] placeholders. Remove client names, account numbers, and personal data before pasting into any AI tool.

What to review

Auto-publish applies only to items submitted after the rule is created, so older items still need manual publishing. Remember payment method rules override supplier rules, which can publish documents you did not expect. Spot check auto-published bills in Xero or QuickBooks Online for correct category, tax rate and amount, and note that desktop integrations such as QuickBooks Desktop and Sage 50 are not supported.

Build an Email-to-Ledger Invoice Workflow with Zapier AI and Agents

Zapier's guide explains how invoice automation captures invoices from email or portals, extracts fields, matches against POs, routes approvals and syncs to accounting systems like QuickBooks Online or Xero. It shows Zapier workflows that turn emailed invoices or files dropped in cloud folders into accounting records, log invoices to a spreadsheet and post Slack alerts, and suggests using AI by Zapier to categorize invoices and Zapier Agents to monitor incoming invoices and extract due dates and amounts.

Categorize Leftover Expenses with AI After Bank Rules

This Brocent guide argues that QuickBooks and Xero bank rules should handle recurring transactions deterministically, and that ChatGPT is best used for the residue of unrecognised payees, split transactions and anomaly review. It recommends exporting uncategorised transactions to CSV with the real chart of accounts, asking for a suggested category with a confidence note and flags, and reviewing everything before posting. It stresses never auto-posting AI output, keeping an audit trail and leaving tax judgements to an accountant.
