Make or Zapier for bookkeeping automations?
Make and Zapier both move data between the apps a bookkeeper already uses: email, Drive, the ledger, Slack. They are not accounting systems. The usual difference people care about is how each one bills for work (operations versus tasks) and how visual the scenario builder is.
We do not list prices. Read each vendor's pricing page.
Pricing model differences
Zapier bills around tasks: one action in a Zap usually counts. Multi-step Zaps and high-volume invoice or receipt flows can burn through a task allotment quickly. See Zapier's pricing page for current plans, limits and how tasks are counted.
Make bills around operations: each module that runs in a scenario typically counts. Make is often used when a flow branches, iterates a bundle of invoices, or needs more routing. See Make's pricing page for current operations, transfer limits and plan names.
Neither model is 'cheaper' in the abstract. Count the steps in the three flows below on each vendor's current calculator, using your real volume, before you pick.
Receipts: email PDF to a folder, then a review row
- Trigger: a labeled inbox folder or a shared mailbox that vendors already use for receipts.
- Filter: attachments that look like PDF or image files. Skip replies and signatures.
- Action: save the file to a receipts folder in Drive or Dropbox, named with the date and vendor if the subject has it.
- Action: append a row to a review sheet (date, vendor guess, amount blank, file link, status = unreviewed).
- Stop there. A person codes the receipt in the ledger or in Hubdoc, Dext or Ramp. Do not let the automation post to the GL.
Invoices: inbound bill to a waiting-for-approval list
- Trigger: bills mailed to ap@yourfirm or dropped in an AP folder.
- Action: extract vendor, invoice number, date and amount only if you accept the extractor's error rate. Prefer the capture tool you already trust (BILL, Ramp, the ledger).
- Action: post a Slack or email notice with the file link and a 'needs coding' checkbox.
- Optional: create a draft bill in QuickBooks or Xero only when a person has mapped that vendor before.
- Our Zapier invoice workflow in the directory is a sourced example of email-to-ledger automation. Read it, then confirm current Zapier features on Zapier's site.
AR reminders: a weekly chase list, not an auto-dunning blast
- Trigger: a weekly schedule.
- Action: export open invoices from the ledger (or a saved report) to a sheet.
- Action: keep rows older than your terms, grouped by customer, with balances. Remove consumer account numbers.
- Action: notify the bookkeeper with the file. Optionally draft reminder language for review.
- Do not auto-email customers from an unreviewed list. Tone, credits and payment-plan exceptions need a person.
Pros and cons
Make
Pros
- Visual scenarios with routers and iterators suit messy bookkeeping files.
- Operations pricing can fit high-step, lower-run flows. Confirm on Make's pricing page.
Cons
- Steeper learning curve than a simple two-step Zap.
- You still own errors: a wrong iterator can create duplicate bills.
Zapier
Pros
- Familiar library of bookkeeping and inbox apps.
- Fine for a few reliable two- or three-step Zaps.
- A sourced Zapier email-to-ledger invoice workflow is already in this directory. Confirm current features on Zapier's site.
Cons
- Task use grows fast on loops and per-invoice runs. Check the pricing page.
- Complex branching is often clearer in Make. Try both on one flow.
Who it is not for
- Teams that need the automation to post to the ledger without a person. Do not skip review.
- Anyone expecting these tools to replace QuickBooks, Xero or a bill-pay product.
- Firms that cannot keep credentials in a shared, access-controlled account.
